We collect as little as we can, we never sell data, and there is no advertising or tracking on Hopvote. Here is exactly what we keep and why.
Who is responsible
Hopvote, trade name of Julie Burel EI, 85 chemin de la Fontaine, 01800 Villieu-Loyes-Mollon, France, is responsible for the personal data described here. For any question about your data: contact@hopvote.com.
What we collect
If you create an account
- Your name and email address.
- Your password, stored hashed: nobody can read it, not even us. With Google sign-in, we receive only your name, email and a Google ID.
- What you create: presentations, questions, images, logos, fonts and designs.
- Your plan and your billing history. Card details are handled by our payment provider and never reach us.
If you answer a presentation
- No account and, by default, nothing that identifies you. Your browser keeps a random ID so each person answers once.
- Your answers. If the organizer asks for it, the first name and character you choose, shown on the waiting screen.
- If a presentation asks for contact details and you tick the consent box, the details you type (name, email, phone or company). Only the organizer sees them, never the room.
Technical data
- Your IP address and browser information pass through our host for security (blocking abuse and attacks, limiting repeated requests). We don't use them to profile anyone.
Why we use it
- To run the service you asked for (our contract with you): sign you in, save your presentations, count answers live, show results.
- To keep Hopvote safe (our legitimate interest): prevent spam, abuse and attacks.
- To pass contact details to an organizer: only with the participant's consent, which can be withdrawn at any time.
- To meet legal duties: keep invoices.
We never sell or rent data, never use it for advertising, and never use your content to train AI models.
Details collected by organizers
When an organizer asks participants for contact details, the organizer decides why and how to use them: for those details, they are the data controller and Hopvote only stores them on their behalf. To have them changed or deleted, contact the organizer, or write to contact@hopvote.com and we will pass your request on. They are erased when the organizer resets or deletes the presentation, or deletes their account.
AI and translation
When you use the AI assistant, the text you send (your brief or your questions) is processed by Cloudflare Workers AI to write a suggestion. Questions are also translated by Cloudflare Workers AI so each phone can show them in its own language. This text is not stored by the AI and not used to train models. Don't put personal data in an AI brief. The AI only suggests: you always review and choose what you keep, and no decision about a person is ever made automatically. Translations are marked as automatic on participants' phones.
Who else handles data
- Cloudflare: hosting, database, live connections, AI and translation.
- Google: only if you sign in with Google, or use Hopvote in Google Slides.
- Canva and Microsoft: only if you use the Canva app or the PowerPoint add-in. They receive the presentation shown in your slide.
- Resend: sends our emails (account confirmation, password reset, receipts). It receives your email address and the message.
- Whop, our payment provider: payments and invoices.
Some of these providers are based in the United States. Transfers rely on the European Commission's standard contractual clauses or the EU-US Data Privacy Framework.
How long we keep it
- Your account and presentations: as long as your account exists. When you delete your account, everything is deleted right away, and leaves our backups within 30 days.
- Answers: until the organizer resets or deletes the presentation, or deletes their account.
- Invoices: 10 years, as French law requires.
Cookies and storage
One cookie, needed to keep you signed in. Your browser also stores your settings and the random ID used for voting. No advertising, analytics or tracking cookies, so no cookie banner.
Your rights
You can access, correct, export or delete your data, object to its use, or withdraw a consent. Most of it you can do yourself: edit your presentations, and delete your account in Settings. For anything else, write to contact@hopvote.com: we answer within one month. If you think we got something wrong, you can complain to the CNIL, the French data protection authority (cnil.fr).
Age
Organizer accounts are for people aged 15 or over. Participants of any age can answer a presentation without an account.
Security
Connections are encrypted (HTTPS), passwords are hashed, and contact details are only visible to the organizer who collected them.
Changes
If this policy changes in a way that matters, we will say so on the site before it applies.
